Privacy Policy
This policy explains what information AiRa handles, why it is used, and the choices available to you when you use the service.
1. Information we handle
Depending on how you use AiRa, this may include:
- Account details: your email address, a password stored as a cryptographic hash, and account and session identifiers.
- Profile information: an optional display name, information you choose to share about yourself, a preferred location, companion preferences, and whether you have enabled memory.
- Conversation information: messages you send and AiRa's replies. Conversation history is associated with your account.
- Attachments: images, PDFs or plain-text files you choose to share with a message. AiRa processes the file for that reply and records a filename marker, but does not retain the uploaded file.
- Saved memories: preferences, goals, or other context you choose to save. Memory is off by default and can be managed in your account.
- Service usage: daily message counts used to apply AiRa Free's five-message limit and Companion's 15-message limit; text is unlimited on Plus and Complete. We also record daily Talk with AiRa voice time for Plus and Complete members.
- Homepage preview and Helper: messages and recent context are sent to an external AI service provider for replies, but are not saved to an AiRa account or as memories. The anonymous three-message companion preview is separate from the signed-in AiRa Free account allowance of 15 Friend messages per day. We store a random preview identifier and preview message counts for up to 30 days to enforce the three-message companion preview. Helper has no per-visitor question limit; we use daily hashed network identifiers to limit misuse. Expired counters are removed when preview requests arrive.
- Technical information: our hosting, domain, and security providers may process connection details and service logs, such as IP address, browser information, and request diagnostics, to deliver and protect the service.
Please avoid sending passwords, payment card details, government identifiers, medical records, or other highly sensitive information in conversations.
2. How we use information
We use information to provide and maintain AiRa, authenticate accounts, remember your preferences when enabled, generate responses, manage usage limits and subscriptions, protect the service from misuse, respond to support requests, and meet applicable legal obligations.
3. AI processing
AiRa uses an external AI service provider to generate conversational responses. When you send a message, the message and relevant conversation context are sent to that provider for processing. This can include up to 12 recent conversation messages, your selected companion role, your display name, information you entered in your profile including your optional preferred location, and saved memories when memory is enabled. Profile location is user-entered context, not GPS or confirmation of your current location.
If you attach a file, its contents and filename are also sent to the AI service provider to respond to that message. AiRa does not retain the file or automatically save its contents as memories. The filename marker and AiRa's reply remain in conversation history; a reply may quote or summarise the file. Attach the file again if you want AiRa to read it for a later message. The provider may retain information according to its own policies. Only share files you are entitled to share, and avoid sensitive personal information.
The AI service provider processes this information under its own terms and privacy practices.
Talk with AiRa is an optional live voice conversation available to Companion Plus and Complete members. It uses an AI-generated voice and starts only when you select Talk with AiRa and allow microphone access. Your audio is streamed to our AI service provider along with up to 12 recent chat messages, your selected companion, profile context (including your optional preferred location) and saved memories if enabled. Web search is available during voice sessions and may send relevant conversation details to search services. AiRa never saves voice audio or updates saved memories from voice. We record how many seconds of Talk you use each day to apply your plan's daily allowance. Voice transcripts are off by default. If you select Save this voice session's transcript to chat before starting, transcript fragments are held in the open page and saved to your account's conversation history when voice ends. They may be inaccurate, are labelled as voice transcripts, and are sent as context for later text or voice replies. You can clear them with Start a new conversation. Failed saves can be retried or discarded; leaving before saving may lose the transcript. The provider may retain processing data under its own policies. Mute stops microphone transmission; End voice stops the microphone and audio playback. A session ends after 20 minutes, when your daily Talk allowance is used, or when you hide or leave the page.
Optional voice dictation uses your browser's speech recognition service, only when you select Dictate message and allow microphone access. Your browser may send audio to its provider for transcription under that provider's policies. AiRa does not receive or store the audio. Select Stop and send to send the completed transcription and any attached file after the browser finishes recognition, or Stop and review to check and edit the draft first. Sent text is handled like any other conversation message. Normal dictation stops after one minute without sending. If you opt into Keep listening while this page is open, dictation can continue and reconnect after normal browser interruptions until you stop it. Both modes stop without sending when you leave the page, switch tabs, encounter a speech-service error or reach the message limit. Keep-listening mode is off by default and may pick up nearby speech; selecting it alone does not start the microphone.
4. Storage, security, and retention
Account, profile, conversation, memory, and usage information is stored on the cloud database used to operate AiRa. Conversation history is limited to recent messages by the application. Saved memories can be removed individually or cleared from your account, and conversation history can be cleared in the chat.
The homepage preview keeps conversation text only in the open page, not in AiRa's database. Reloading or leaving the page clears this displayed conversation; the message allowance remains. AI and infrastructure providers may retain processing data or technical logs under their own policies.
AiRa does not currently have an automatic account-deletion or data-retention schedule. To request access to or deletion of account information, contact us using the details below. We may retain information where necessary to meet legal obligations, resolve disputes, or protect the service. Service providers may retain technical logs under their own retention practices.
We use reasonable technical and organisational measures to protect information. No internet-based service can guarantee absolute security.
7. Your choices and rights
You can review and remove saved memories in your account, turn memory off, and clear your conversation history. Depending on where you live, you may also have the right to request access to, correction of, deletion of, or a copy of your personal information, or to object to or restrict certain processing.
To make a privacy request, email [email protected]. If you are in the UK, you may also complain to the Information Commissioner's Office.
8. Children
AiRa is not intended for anyone under 16. Account creation requires you to confirm that you are at least 16 years old. This is a self-declaration; AiRa does not currently independently verify a person's age. If you believe someone under 16 has provided personal information to AiRa, contact us so we can review the request.
9. Changes and contact
We may update this policy as AiRa changes. We will update the date at the top and, where appropriate, notify users of significant changes.
For privacy questions or requests, contact [email protected]. For security concerns, email [email protected]. For general support, email [email protected].
You can also use our contact form. Your name, email address and message are sent through Microsoft 365 to the mailbox for your chosen reason so we can respond. Contact messages are not saved in the application's database.
